steps for making and sending invoice

1 –  after logging in as administrator on the site, you will be on the ‘dashboard’ On the left menu under ‘WP-Invoice’ choose ‘add new’

2 – you need to enter the email address of the recipient of this invoice you are going to create. after entered (making sure it is correct), hit ‘create new’

3 -will go to a new page with ‘new invoice’ at top. in the top text box you can give it a name that will be used internally, to id it. The customer will not see this name, only admins.

4 – on the right side of the page, there is a section called ‘user information’ You can add as much info in here about the recipient as you have, or want to – it is optional, but the customer may want to have themselves identified on the invoice for book-keeping purposes.

5- underneath the big white text box there is a section called ‘name’ This is where you add in the items on the invoice. `it will have two lines already displayed – you should only need one, so in the first one, type in a short description of what you are invoicing. example ‘ downpayment for costa rica cabin rental’  Give it a quantity, probably 1, and a price. The currency is set up in USD. The tax, if any, is additional to this amount.
once you have a name for it (see 3, above), line description, quantity and amount, scroll up the page and ‘save’

If you do not want a tax go to the right hand side top and click on publish or advance toggle and you will see a box which you can edit to remove the automatic 13 % tax.

6- at this point the invoice is created and you can look at it and make any changes before you send it out. To view, choose ‘view online’, on right side near top. This is the invoice page that the recipient will see, after you have sent to them.
you can now go back to the screen where you created the invoice and make any changes, i.e., description, amount, quantity, customer info, anything – just ‘save’ your changes and ‘view online’ again to see.
– you can turn the tax on or off, depending on the situation per invoice – on the right side of the screen under the section ‘publish’, click ‘toggle advanced’ and see what is in the ‘global tax’ box. by default it is 13% – if you do not want to charge tax on a invoice, then make this 0.

7 – when you feel ok with it, you can send by choosing ‘send notification’, on the right side menu
a ‘send notification’ box will open in the middle of the page
– double check the recipients email address
-choose from the ‘template’ drop down menu – ‘new invoice’
– check the email text, make any changes if necessary
– when you think all is good you can send by ‘send notification’ button.

8 – the recipient will get this email and if they click the link, it will take them to the page we viewed earlier (‘view online’)

if you want, you can create a test one, to your own email, send it and see what it looks like
you can also look at any of the other test invoices on the list to see where stuff is entered  – left menu item  ‘WP-Invoice’ >’view all’
